Privacy Policy
AdSwarm Tools, Inc.(“AdSwarm,” the “Company,” “we,” “us,” or “our”) provides an enterprise software platform through which businesses manage, analyze, and optimize their advertising and commerce operations on supported marketplaces (the “Service”). This Privacy Policy describes the categories of information we process in connection with the Service, the purposes for which we process it, the circumstances under which we disclose it, and the rights available to you.
This Privacy Policy applies to information processed by AdSwarm through the Service and our websites. It does not apply to information you provide directly to Amazon, Walmart, or any other third party, whose practices are governed by their own privacy policies.
1. Scope of the Service
The Service is a business-to-business offering made available to companies and their authorized personnel in the United States. It is not directed to consumers, to individuals in the European Economic Area, the United Kingdom, or Switzerland, or to children under the age of 16, and we do not knowingly collect information from any of them.
2. Information We Collect
2.1 Information you provide to us
- Account and profile information — name, business email address, authentication credentials (passwords are stored exclusively as one-way cryptographic hashes), organization name, and role.
- Platform authorizations— the OAuth tokens issued when you authorize AdSwarm to access your Amazon Advertising, Amazon Selling Partner, Walmart Advertising, or Walmart Marketplace accounts. AdSwarm never collects, views, or stores your marketplace passwords; authorization occurs exclusively through each platform’s own consent flow, and all tokens are encrypted at rest.
- Communications — correspondence you send to us, including support requests.
2.2 Information collected automatically
- Service telemetry — IP address, browser and device characteristics, and timestamped records of requests to the Service, maintained for security, reliability, and audit purposes.
- Usage information — features accessed and actions taken within the Service.
- Cookies — as described in Section 8.
2.3 Marketplace data processed on your behalf
When you connect a marketplace account, AdSwarm retrieves business data from that platform on your instruction and on your behalf, including advertising campaign configuration and performance, keyword and product-level performance, inventory, sales, settlement, returns, and reimbursement data. This information concerns your business and your products; it is processed solely to provide the Service to you and is never used for advertising to, or profiling of, any consumer, and never sold, rented, or disclosed to any other customer or third party.
AdSwarm is architected for data minimization and processes marketplace data in accordance with the Amazon Data Protection Policy and applicable Walmart requirements. The Service does not request, retrieve, or store consumer personal information such as buyer names, delivery addresses, email addresses, or telephone numbers. Where a marketplace report may incidentally contain free-form text, identifying fields are programmatically redacted before storage.
3. How We Use Information
We process the information described above to:
- provide, operate, secure, and maintain the Service;
- authenticate users and protect against fraud, abuse, and unauthorized access;
- execute the marketplace operations you initiate or configure;
- communicate with you regarding your account and the Service;
- satisfy our legal, regulatory, and contractual obligations; and
- maintain and improve the quality, safety, and performance of the Service.
4. How We Disclose Information
AdSwarm does not sell personal information and does not share personal information for cross-context behavioral advertising. We disclose information only:
- to service providers engaged to support the Service (such as infrastructure hosting), acting under written contract and only as necessary to perform services on our behalf;
- to the marketplace platforms, when you direct the Service to perform an action on your connected account;
- as required by law, including to comply with a subpoena, court order, or other lawful process, or to protect the rights, property, or safety of AdSwarm, our customers, or others; and
- in connection with a corporate transaction, such as a merger, acquisition, financing, or sale of assets, subject to the commitments of this Privacy Policy.
5. Your Privacy Rights
Depending on your jurisdiction, you may have the right to know, access, correct, or delete personal information we hold about you, to opt out of the sale or sharing of personal information (practices in which AdSwarm does not engage), to limit the use of sensitive personal information, and to exercise your rights free from discrimination.
To exercise any of these rights, contact [email protected]. We will verify your identity and respond within the time required by applicable law. You may designate an authorized agent to submit a request on your behalf. We honor the Global Privacy Control signal where applicable law requires.
6. Data Retention and Deletion
We retain information for as long as reasonably necessary to provide the Service and to satisfy the purposes described in this Privacy Policy, and thereafter as required to comply with our legal obligations, resolve disputes, and enforce our agreements. Operational data is subject to defined retention schedules with automated deletion. Upon account closure, customer data is deleted within 90 days, except where a longer period is required by law. Marketplace authorizations are revocable at any time, and the associated credentials are destroyed immediately upon disconnection.
7. Information Security
AdSwarm maintains a comprehensive information-security program that includes encryption of data in transit and encryption of credentials at rest, mandatory multi-factor authentication for all user accounts, role-based access controls operating on the principle of least privilege, comprehensive audit logging, continuous monitoring, and a documented, tested incident-response capability. No method of transmission or storage is entirely secure; in the event of a breach affecting your information, we will provide notice as required by applicable law and our platform commitments.
8. Cookies
The Service uses a limited set of first-party cookies that are strictly necessary or functional. We do not use advertising cookies or third-party tracking technologies.

9. Personnel Access to Customer Accounts
Access by AdSwarm personnel to customer account data is restricted to what is necessary to operate the Service and resolve support matters. Any such access requires an individually authorized, read-only support session opened for a single workspace with a recorded business justification; sessions expire automatically and every access is logged and retained. Customers may request a record of personnel access to their account at any time by contacting [email protected]. Personnel access never includes consumer personal information, which the Service does not collect.
10. International Users
The Service is hosted and operated in the United States. By using the Service, you acknowledge that your information is processed in the United States.
11. Changes to This Policy
We may revise this Privacy Policy from time to time. If we make material changes, we will provide notice by email or through the Service before the changes take effect. The “Last Updated” date above reflects the most recent revision.
